How Project Passport handles personal and property information.

Our approach

Project Passport is designed around UK GDPR principles. Project records are private by default. They are not published, not made publicly searchable and not indexed by search engines.

Information we collect

Account details such as name, email address and organisation; property and project information you enter; documents and photographs you upload; team members you invite and the permissions you grant them; sharing activity; and technical logs needed to run and secure the service.

How we use it

To provide the service, storing, organising, structuring and sharing your building project information at your direction, to maintain an audit history that supports the credibility of the record, to keep accounts secure, to provide support, and to bill for paid plans.

Lawful bases

Performance of our contract with you, our legitimate interests in operating and securing the service, consent where we ask for it (for example optional analytics or marketing), and legal obligations such as accounting requirements.

Sharing

We do not sell personal data. Information is shared only with the people you invite, with recipients of links you deliberately create, and with service providers who operate parts of the platform on our behalf under written terms. Shared links can carry an expiry date and password, and can be revoked at any time.

Your rights

You can request access to your data, correction, export in a portable format, restriction, objection and deletion. Export and account deletion are available from account settings once accounts are enabled.

Retention

Records are held while your account is active and in line with the retention settings applicable to the Passport. Where a Passport has been transferred to a homeowner, the builder retains an appropriate historical project record consistent with permissions and retention settings.

Children

The service is intended for adults and for businesses. It is not directed at children.
